How Axionac collects, uses and protects personal data.

1. Who we are

Axionac (“Axionac”, “we”, “us”) provides a unified security platform covering employee monitoring, insider risk management, data loss prevention (DLP) and remote monitoring and management (RMM).

This policy explains what we do with personal data. It applies to our website at axionac.com and to the Axionac platform.

2. Our two roles — please read this part

Axionac handles personal data in two different capacities, and your rights differ depending on which applies to you.

a. We are the controller

For people who visit our website, contact us, request a demo, or hold an Axionac account, we decide why and how the data is used. We are the controller and this policy governs that data.

b. We are a processor

For the monitoring data our customers collect about their own staff and devices through the Axionac platform, the customer organisation is the controller and Axionac is only the processor. We act on that organisation’s documented instructions and do not decide what is monitored or why.

If you are an employee whose device is monitored using Axionac, your employer — not Axionac — is responsible for telling you what is collected and on what lawful basis, and is the right party to approach about your data. Please contact your employer first. If you cannot reach them, write to us and we will pass the request on.

3. What we collect as controller

Website visitors

  • Technical data: IP address, browser and device type, pages viewed, referring page.
  • Anything you type into a form — for a demo request that is your name, work email, phone number, company, company size and message.

Account holders and customers

  • Account data: name, work email, phone, job title, organisation and user role.
  • Billing data: billing address, VAT number, country and subscription history. Card details are entered directly with our payment provider and never reach our servers.
  • Security and audit data: sign-in times, IP addresses, device and session records, and actions taken in the product. We keep these to protect accounts and to give administrators an audit trail.

4. Why we use it, and our lawful basis

  • To provide the platform and support you — performance of our contract with you.
  • To take payment and meet tax obligations — contract, and legal obligation for records we must retain.
  • To answer demo requests and sales enquiries — our legitimate interest in responding to someone who asked to hear from us.
  • To keep accounts and infrastructure secure, including detecting and investigating abuse — our legitimate interest in protecting the service and its users.
  • To send product or marketing email — consent where required. Every marketing message carries an unsubscribe link, and withdrawing consent is free and takes effect immediately.

5. Who we share it with

We do not sell personal data and we do not share it for anyone else’s marketing. We use a small number of service providers, each bound by contract to process data only on our instructions:

  • Payment processing and subscription billing.
  • Transactional and notification email delivery.
  • Cloud hosting and infrastructure.

A current list of subprocessors, including the categories of data and the countries involved, is available from support@axionac.com on request. We may also disclose data where the law requires it, or to establish or defend legal claims.

6. International transfers

Some providers operate outside the UK. Where personal data is transferred abroad we rely on UK adequacy regulations or on the International Data Transfer Agreement (or the UK Addendum to the EU Standard Contractual Clauses), together with any additional safeguards the transfer requires.

7. How long we keep it

  • Demo and sales enquiries: up to 24 months from our last contact with you.
  • Account data: for the life of the account and up to 12 months after it closes.
  • Billing and tax records: 6 years, as UK tax law requires.
  • Security and audit logs: up to 12 months, unless needed for an ongoing investigation.

Customer-controlled monitoring data is retained according to the customer’s own policy settings, and is deleted on their instruction or after their account closes.

8. Security

We use encryption in transit, encryption of stored backup snapshots, role-based access control, multi-factor authentication, per-tenant database isolation and audit logging. No system is perfectly secure, but we take these measures seriously and review them regularly. If a breach affects your personal data and is likely to present a risk to you, we will notify you and the ICO as the law requires.

9. Your rights

Under UK GDPR you can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct data that is wrong or incomplete;
  • delete data, where there is no overriding reason for us to keep it;
  • restrict or object to how we use it, including profiling;
  • transfer it to another provider in a portable format;
  • withdraw consent at any time, where consent is the basis we relied on.

Write to support@axionac.com and we will respond within one month. There is no charge. If you are unhappy with our response you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113 — though we would appreciate the chance to put it right first.

Where Axionac is only the processor (see section 2b), we will refer your request to the customer organisation that controls the data, because they are the ones who can action it.

10. Cookies

We use cookies that are strictly necessary for the site and the product to work — keeping you signed in, remembering your session and protecting against cross-site request forgery. These do not require consent. Where we use any analytics or marketing cookie, we ask for your consent first and you can decline without losing access to the site.

11. Changes to this policy

We update this policy when our practices change. The date at the top always reflects the current version, and we will tell account holders directly before any change that materially affects them.
